How we work — and the boundaries of what we do.
Our role
Palmō Retreats is a small travel atelier. In our current phase we operate as a travel advisor and intermediary (Reisevermittler / Reiseberater). We curate boutique stays, design private journeys, and arrange bookings on your behalf with the respective providers. We do not act as a tour operator (Reiseveranstalter) and do not sell packaged tours.
What this means in practice
For every booking we arrange, the contract for the underlying service — accommodation, transfers, experiences, restaurants — is concluded directly between you and the relevant provider (the hotel, the transfer company, the restaurant, and so on). The provider's own terms and conditions apply to that contract.
Our own engagement with you covers the advisory and design work: the conversations, the curation, the recommendations, the coordination, and being reachable before, during, and after your journey.
Scope of advisory services
A typical engagement includes:
- An initial conversation about your needs, preferences, and constraints
- A short curated selection of properties or routes, each with reasoning
- Detailed planning, transfers, restaurant suggestions, experience bookings
- Liaison with hotels and providers on your behalf
- Reachability during your journey and a debrief on return
Travel-design fee
For our advisory and design work we charge a travel-design fee, separately from any payments made to providers. The fee depends on the scope of the journey and is agreed in writing before any work begins. Payment terms, invoicing, and cancellation conditions for the advisory fee will be set out in the individual engagement letter.
Bookings and payments
Payments for accommodation, transfers, experiences, and other third-party services are made directly to the respective providers, in accordance with their own terms. Where we facilitate a payment on your behalf, this will be agreed and documented in advance.
Cancellations and changes
Cancellation, change, and refund conditions for accommodation and other third-party services are governed by the terms of the respective providers. We will draw your attention to these terms in writing before you confirm any booking. Cancellation conditions for our own advisory fee will be set out in the engagement letter.
Liability for third-party services
We select providers with care, but we are not the contractual provider of the underlying travel services and do not assume liability for the proper performance of those services. Our liability is limited to the proper performance of our own advisory and intermediation duties. Statutory liability for intent and gross negligence, as well as liability under the Product Liability Act and for injury to life, body, or health, remains unaffected.
Travel documents, insurance, and entry requirements
You are responsible for ensuring that you hold valid travel documents (passport, visa where required), that you meet entry and health requirements for your destinations, and that you have appropriate travel and health insurance in place. We will draw your attention to known requirements at the time of planning, but the obligation to verify and comply rests with you.
Communication
Our primary channel of communication is email. We read every message ourselves and reply within two business days. For urgent matters during a journey we agree a direct contact in advance.
Privacy
Personal data shared with us during the planning of a journey is processed in accordance with our privacy notice. We do not sell or share data with third parties for marketing purposes.
Applicable law and jurisdiction
German law applies, to the extent permitted by mandatory consumer-protection provisions of the country in which you have your habitual residence. The place of jurisdiction is determined by statute.
Severability
Should any provision of these terms be or become invalid, the validity of the remaining provisions shall not be affected.
These terms are a working draft for the soft-launch phase. Final, legally binding terms of engagement will be drafted and reviewed by counsel before any client engagement is concluded and before the website goes live.
